Zoho Projects vs monday.com for Small Teams

|Pranav Tiwari

Zoho Projects and monday.com can both organise assignments, deadlines, dependencies and team updates, but they approach the job differently.

Choose Zoho Projects when your work is naturally organised into projects and you want structured task management, timesheets, milestones and client delivery—especially if you already use other Zoho products.

Choose monday.com when your team wants highly visual boards that can represent projects as well as wider workflows such as campaigns, requests and operating processes.

The deciding question is whether you need a dedicated project-delivery system or a flexible work-management canvas.

How this comparison was prepared

This guide uses current official product, pricing and help documentation. Optavero has not completed a controlled hands-on test of both products for this article, so subjective claims about ease, performance and support are not presented as tested facts.

The fundamental difference

Zoho Projects starts with a project. Work is divided into milestones, task lists, tasks and subtasks, with dependencies, Gantt views and time records supporting delivery. That model suits an agency, consultancy or implementation team that repeatedly plans and completes client engagements.

monday.com starts with a board. Columns describe each item using owners, dates, status, numbers, formulas and other fields. The same building blocks can become a project plan, editorial calendar, service request queue or sales process. This flexibility is useful, but it means the team must design and govern its own system.

Planning and everyday delivery

Zoho Projects includes subtasks and Gantt charts across its published editions. Its Free edition supports three projects, while paid editions expand project count, storage, templates and dependency controls. Teams that think in milestones, planned work and billable delivery will recognise the structure quickly.

monday.com makes progress visible through configurable boards and views. Standard adds Timeline, Gantt and Calendar views, while Pro adds workload, formulas, dependencies and time tracking. The board model can be easier to scan across mixed business processes, but the required plan depends on which views and controls matter.

Run the same live project in both trials. Include 20 tasks, two dependencies, one late milestone, a recurring activity and an external request. The winner should let everyone answer three questions without explanation: what is due, who owns it and what is blocked?

Time, workload and client work

Zoho Projects treats timesheets as part of project delivery. That is useful for service businesses that need to understand effort by project, task or person. Client access can also support collaboration, although paid client-user add-ons and permissions should be checked against the chosen edition.

monday.com's native Time Tracking Column and Workload View sit on Pro. Standard includes shareable boards and limited guests, which may be enough when clients only need selected visibility. A team attracted by monday.com's entry price should therefore calculate the price of the first plan that contains its real reporting, guest and time requirements.

Automation and integrations

Both platforms support repeatable workflows. Zoho Projects connects particularly naturally with the wider Zoho environment, including CRM, Books, Desk, Analytics and Flow. This can reduce duplicate records when a business already operates inside that ecosystem.

monday.com offers recipes that trigger actions when dates, owners or statuses change. Automations and integrations begin on Standard with usage limits, while Pro raises the allowances substantially. Estimate how often each workflow will run: a process can consume more than one action per event.

Do not automate an unclear process. First define the owner, trigger, expected outcome and recovery step when an automation fails.

Cost and growth

Zoho Projects' Free edition is a credible test for a very small project portfolio. Paid editions unlock unlimited projects and progressively broader controls. The relevant cost is the edition supporting every required user, client, dependency and reporting need—not simply the lowest advertised rate.

monday.com's Free plan is limited to two seats. Paid plans start at three seats, so a solo operator or two-person team may pay for unused capacity. Standard is often the practical comparison when automations, integrations, guests or Gantt views matter; Pro becomes relevant for native time tracking, workload and formulas.

Zoho's current referral portal states that eligible customers joining through an Optavero Zoho link receive $100 in Zoho Wallet credits. Wallet credits have usage limits, expiry conditions and restrictions; they are not cash and should not replace a full 12-month cost comparison.

Choose Zoho Projects if...

  • most of your work is delivered as defined projects;
  • milestones, dependencies, timesheets and structured delivery matter;
  • your business already uses Zoho CRM, Books, Desk or other Zoho apps;
  • a small three-project free workspace is enough to validate the fit.

Explore Zoho Projects

Choose monday.com if...

  • colleagues prefer highly visual boards and configurable columns;
  • the same platform must cover projects and non-project workflows;
  • shareable boards, forms and cross-board dashboards are important;
  • the three-seat minimum and required feature tier fit your budget.

Final verdict

Zoho Projects is the stronger fit for a service team that wants disciplined project delivery, time records and a direct route into the wider Zoho suite. monday.com is the stronger fit when visual adoption and flexible process design matter more than a traditional project hierarchy.

Trial both with one active project and resist customising everything. The better choice is the system your team can keep accurate with the least administrative effort.
